MySpace Documents

Overview
MySpace combines mirror cards from other spaces with your private cards. Remember that documents attached to mirror cards are located in their Home Spaces. Private cards, on the other hand, exist exclusively in MySpace. They do not have a default storage location for documents until you assign one.
You can add and create documents in private cards in KanBo by connecting your OneDrive and MySpace.
OneDrive is like the private drawer in your office desk. It’s an online folder where you can store your own files. By default, all documents created in Word, PowerPoint, or Excel on your computer are automatically saved to OneDrive. Instead of keeping them only on your device, they’re safe in the cloud (on Microsoft’s secure servers). That means your files are backed up, so if your computer breaks, you don’t lose them.
OneDrive is connected to your work email, the same as KanBo. With just one click, you can link these accounts and gain access to the file storage space. After doing this, you are able to create documents in private cards. OneDrive also synchronizes bidirectionally with the device you are working on. This means that documents created in private cards on MySpace will be available on your computer, as well as files created on your device can be immediately visible in private cards.
In conclusion, connecting OneDrive and MySpace allows you to:
- Create and add existing documents to private cards.
- Add documents created on your device to private cards.
- Access documents from your private cards on your device.
Using the document folder feature, you can create a preview of the documents you are working on your device.
Documents created in private cards are not visible to other KanBo users.
It’s important to note that connecting OneDrive to KanBo will not make your documents visible to other KanBo users. Even if you share MySpace with others, they will not be able to access your documents until you share one with them manually. However, when you move a private card to another space, the documents attached to the card will become visible to space users.
Integrating MySpace with OneDrive
This part is directed to the users of cloud environments.
Integrating your OneDrive with MySpace is literally one click away. When you want to create a document in a private card, KanBo will ask you if you want to connect MySpace to KanBo. The same question will appear when you try to access the Documents section.
To integrate MySpace with OneDrive:
- On the Sidebar, go to
My KanBo > MySpace. - On the MySpace top bar, go to
Documents. - On the pop-up window, select Yes.
- Refresh the page.
You will not be able to create documents in private cards if you do not connect MySpace to OneDrive.
After connecting OneDrive, MySpace will gain file storage space. To see where the files you create in private cards are saved, select
Go to source.
All documents added to your private cards are stored in the KanBo folder on your OneDrive. You can also find it by going to My Files > KanBo.
The KanBo folder is created automatically to separate documents created in private cards, such as Word, Excel, or PowerPoint files, from other documents already stored on OneDrive.
Adding your files from OneDrive to private cards
This part is directed to the users of cloud environments.
By connecting OneDrive to MySpace, you not only gain storage space for newly created documents, but also access to those you create on your device. You can easily attach them to private cards and continue working on them in MySpace.
To add a file from your OneDrive to a private card:
- Go to MySpace.
- Open a private card.
- Select + Add element >
Document >
Add existing document.
A newly created OneDrive folder will appear in the Documents section. Opening the folder will show you all the files previously saved on your OneDrive. From now on, you can add them to private cards directly from KanBo.
- Select the OneDrive folder.
- Select the checkbox next to the document(s), and then confirm with the + Add selected button.

Adding other document sources to MySpace
As with other spaces, you can add documents from other sources to private cards. First, add an additional document source to MySpace.
Note that you can only add company document sources. You cannot add other users' OneDrive folder, nor can anyone else add yours as an additional document source in any space.
To add a document source to your MySpace:
- Open your MySpace.
- On the MySpace space top bar, select
More. - In the SPACE SETTINGS section, select
More settings >
Document Sources. - Select + Add.
- Select the document sources you want to add, and then scroll down and confirm your choice with the + Add selected button.
To add an existing document from other document sources to your private card:
- Open your MySpace.
- Open the private card.
- Go to + Add element >
Document >
Add existing document. - Select the home icon
.
- Select the document source, and browse for the document you want to add.
- Select the checkbox next to the document(s), and then confirm with the + Add selected button.
Mirror cards cannot contain documents from other non-related sources. They can only accept documents from sources added to their Home Space.
