Inviting Guest Users to KanBo

Overview

If your organization does work that involves sharing documents or collaborating directly with vendors, clients, or customers, you may want to invite them to KanBo world. This allows you to share content with people outside your organization who do not have licenses for your Microsoft 365 subscription.

There are three levels of access to a space: owner, member, and visitor. Only member and visitor access levels are available to external users. The same applies to the access levels of workspaces.

Prerequisites

To add external users, you need the Adding KanBo Users role.

The guest user will consume one KanBo license.

Only the space owner can add users to the space. 

You can invite external users who are using Microsoft 365 or who have a Windows Live ID. If the invited users use a non-Microsoft email, they will need to register it as a Live ID.

Inviting guest users to spaces

When you share a space with external users, you send them an invitation that they can use to sign in. You have to select the level of access to the space that you want to give the external user – member or visitor.

To invite an external user to a space:

  1. Open the space.
  2. Select Users.
  3. On the Visitor or Member section, select Add user.
  1. Select Guest user invitation.
  2. Type an email of the guest, and then select Invite a guest.

Inviting guest users to workspaces

You can invite external users to the entire workspace. For example, if you use standard space types, this is the only way to add them to such spaces.

To invite an external user to a workspace:

  1. Open the workspace.
  2. On the Visitor or Member section, select Add user.
  3. Select Guest user invitation.
  4. Type an email of the guest, and then select Invite a guest.

Receiving the invitation to KanBo

To accept the invitation to the KanBo space:

  1. Open the invitation email message.
  2. Select the Accept invitation button.
  3. Accept the review permissions.

In a moment you will be redirected to KanBo.
