Importing Plans from Microsoft Planner to KanBo

Overview
Once you reach the limits of Microsoft Planner, it’s easy to continue using KanBo. Since a KanBo space belongs to the same Microsoft Team (Microsoft 365 Group), you can import all Planner cards, including their details, documents, and comments.
After importing a plan into KanBo space:
- Tasks
Cards - Notes
Notes - Checklists
To-do lists - Start dates, Due dates
Start dates, Due dates - Buckets
Lists - Labels
Labels - Assignment
Card members
Importing plans to KanBo
Only space owners with the Templates KanBo role can import the Microsoft Planner data to KanBo.
To import a plan into your KanBo space, all you need to do is copy and paste the plan link.
Copying links from Microsoft Planner
To copy the plan link:
- Open Microsoft Planner.
- Open your plan.
- On the top menu, select the arrow next to the plan’s name, and then select Copy link to plan from the list.
To ensure a successful import from Microsoft Planner to KanBo, it is essential that you are logged in with the same email account on both platforms.
Importing plans to KanBo
To import a plan from Microsoft Planner to a space:
- Open KanBo.
- Open the space where you want to import the plan.
- On the space top bar, go to More (the three-dot menu), and then select
Import from MS Planner. - Paste the link to the plan.
- Decide, if you want to import documents and users.
- Select Import.
- Adjust card statuses and custom fields if needed.
Importing a plan involves adding cards and their corresponding statuses to the space. If your space already has card statuses selected as a card grouping method, additional groupings will appear on the right side of the screen.
Example: After importing a plan to the space, you may need to adjust card statuses or custom fields. You can do this by removing some of them.
Common Issues
Importing a plan repeatedly from Microsoft Planner to KanBo does not overwrite the data, but rather creates additional versions of cards, statuses, and custom fields.
