Overview
Collections allow you to create sets of elements related to each other in a way that makes sense to you. Collections can hold cards, spaces, workspaces, and links. You can further catalog items inside the collection using folders.
Collections are available in the Favourites & Recent section.
The contents of the collection can be rearranged and modified at any time.
You can share your collections with other users.
Creating collections
1. Creating collections
To create a new collection:
- On the Sidebar, select the star icon .
- Select + Add element, and then select Collection.
- Enter the collection name, and then select Create collection.
The collection is created and appears in the Favorites section. Click on it for opening.
2. Adding folders
To be able to add items to the collection, we must first create a folder.
To create a folder:
- Select + Add folder.
- Enter the name, and then select Create folder.
3. Adding elements to collections
Inside folders, you can add elements like spaces and links. Open a folder to see its contents.
To open the folder:
- Select the triangle to make it point down .
To add an element to a folder:
- Select + Add element, and then select the element type.
- Follow the on-screen commands.
Example: You can add a space or a link to a folder.
4. Arranging collections
The position of any element in the collection can be changed, including folders. You can also move items between folders.
To change the position of the collection’s element:
- Drag an element, and move it to the desired position.
Collection users
You can share your collection with other users. Keep in mind that other users can only see the elements in the collection that they have access to.
Decide what level of access you want to give them:
- Owner – can see and edit the collection
- Visitor – can only see the collection
To share a collection to other users:
- On the Sidebar, select the star icon, and then open the collection.
- On the top collection bar, select
Users. - Select Add user on the desired access level.
- Select the user, and then confirm with the + Add selected button.
Adding existing collections to favorites
To be able to add an existing collection to favorites you must be the collection user.
To add a collection to Favorites:
- On the Sidebar, select the star icon .
- Select + Add element, and then select
Collection. - Go to Add existing collection.
- On the chosen collection, select Add.
Removing collections from favorites
To remove a collection from Favorites:
- On the Sidebar, select the star icon .
- On the chosen list position select More (the three-dot menu), and then select
Remove from Favorites.
Only collection owners can rename the collection.
Renaming collections
To rename a collection:
- On the Sidebar, select the star icon .
- Select the collection.
- On the collection top bar, go to More (the three-dot menu), and then select
Rename. - Enter the new name, and then select Save.
Only collection owners can delete the collection.
Deleting collections
To delete a collection:
- On the Sidebar, select the star icon .
- On the chosen list position select More (the three-dot menu), and then select
Delete. - Confirm you are sure you want to delete the collection with all its contents. The original KanBo elements will not be removed.
