Creating Custom Fields
Overview
Although custom fields are used in cards, they can be created in spaces, workspaces, and globally within KanBo. Space owners can create new custom fields or add existing ones from the workspace catalog. The same rule applies to workspace owners, who can create or add custom fields from the global catalog.
Space custom fields
Only space owners can manage space custom fields.
The space custom fields section allows you to create, edit, and delete custom fields. Custom fields added from the workspace catalog cannot be edited here.
To enter the space custom fields section:
- Open the space.
- On the space top bar, select
More. - In the SPACE INFO section, select
Custom fields.
To create custom fields:
- Select + Add custom field, and then select + Create new custom field.
- Select the type of custom field.
- Enter the name of custom field category.
- Select Create custom field.
- In case of single-select or multi-select custom fields, continue to create options:
- Select + Add option.
- Enter the name of the option, select the color and icon.
- Select Add option.
- Select Save changes.
To add custom fields that are ready to use from the workspace catalog:
- Select + Add custom field, and then select + Add existing custom field.
- Select the custom field.
To edit, remove, or delete custom fields:
- Select the custom field.
- Make changes, and then select Save changes,
Remove from space, or select
Delete this custom field.
Workspace custom fields
Only workspace owners can manage workspace custom fields.
Workspaces can have custom fields created in them or added from the global catalog. These fields may then be visible in all spaces within that workspace. It is up to the space owner to decide whether to make them available to space users.
To enter the workspace custom field section:
- Open the workspace.
- On the workspace top bar, go to
Settings, and select
Custom fields.
To create custom field:
- Select + Add custom field, and then select + Create new custom field.
- Select the type of custom field.
- Enter the name of custom field category.
- Select Create custom field.
- In case of single-select or multi-select custom fields, continue to create options:
- Select + Add option.
- Enter the name of the option, select the color and icon.
- Select Add option.
- Select Save changes.
To add custom fields that are ready to use from the global catalog:
- Select + Add custom field, and then select + Add existing custom fields.
- Select the type of custom field.
To edit, remove or delete custom field:
- Select custom field.
- Make changes, and then select Save changes,
Remove from workspace, or select
Delete this custom field.
You can also move custom fields created in a space to the workspace to share them with other spaces. We call this leveling up custom fields.
To level up the space custom field:
- Open the space.
- On the space top bar, select
More. - In the SPACE INFO section, select
Custom fields. - Select the custom field.
- Select Level up this custom field.
Global custom fields
Custom fields can also be created on the global level. These fields may then be visible in workspaces. It is up to the workspace owner to decide whether to make them available to space owners to add to spaces. Custom fields created on the global level can only be edited here.
Only users with the Global Settings KanBo role can manage global custom fields.
To enter the global custom field section:
- On the Sidebar, select your avatar, and then select
Settings >
General. - Select
Custom fields.
To create custom field:
- Select + Add custom field, and then select + Create new custom field.
- Select the type of custom field.
- Enter the name of custom field category.
- Select Create custom field.
- In case of single-select or multi-select custom fields, continue to create options:
- Select + Add option.
- Enter the name of the option, select the color and icon.
- Select Add option.
- Select Save changes.
To edit or delete custom field:
- Select custom field.
- Make changes, and then select Save changes, or select
Delete this custom field.
You can also move custom fields from a workspace to the global catalogue to share them with other workspaces. This process is known as ‘levelling up’ custom fields.
To level up the workspace custom field:
- Open the workspace.
- On the workspace top bar, go to
Settings, and select
Custom fields. - Select the custom field.
- Select Level up this custom field.
