Resource Management

Overview
Resource Management module is a versatile framework designed to optimize planning, tracking, and utilization of both human and non-human resources. It supports various organizational needs through defined roles, allocation strategies, and licensing options that ensure efficiency, accountability, and strategic control.
An important element of the Resource Management structure is the subsidiary. It represents a part of a larger company or an entity within a corporate group. Resources (both human and non-human) are tied exclusively to a subsidiary. Only managers of a subsidiary can view and manage its resources.
Then resources can be allocated to spaces. This means that we reserve them for a specific number of hours to do work in a space. Within that space, we can manage that time at the next level by distributing hours to individual cards. KanBo provides insights into resource utilization with the space Allocation section and Workload views.
Example: Utilization of resources in the Green Week space.
Resources are managed by resource managers. They receive allocation requests from spaces, review them, and then approve or deny them. Then, at the space level, resources are managed by space owners. Resource Management structured roles, tiered licensing, and allocation strategies offer organizations the flexibility to manage resources safely.
Another feature is Time Tracking, which allows employees to enter the number of hours spent on each task. This confronts plans with reality, allowing teams to remain flexible and adapt to situations on the fly.
Tiered access to the Resource Management features
Resource Management is a comprehensive module with structured access. It is based on the resources you have and the managers who control them. The exposure of sensitive data is protected throughout the layered system and only certain people within the organization are allowed to access it.

A KanBo user can be assigned several roles and accesses at once.
Access to Resource Management module is based on layers but keep in mind that one user can be assigned to several roles simultaneously. It is up to you to decide how the resource management structure will look like in your company.
Resource Management Roles
Resource Management roles and its responsibilities:
- Resource Admin
- Primary Function: Manages foundational data such as work schedules, office
holidays, and other base data. - Limitations: Cannot view or manage specific resources like personnel or non-human resources.
- Significance: Ensures the integrity of core resource-related data without overlapping into operational resource management.
- Primary Function: Manages foundational data such as work schedules, office
- Non-Human Resource Managers
- Primary Function: Oversees non-human resources, such as machinery, materials, or external contractors.
- Capabilities:
▪ Adds new non-human resources and updates existing ones.
▪ Sets operational schedules and base data such as skills.
▪ Manages availability and operational assignments. - Restrictions:
▪ Restricted to managing resources within their designated subsidiary.
▪ Does not access financial information.
- Human Resource Managers
- Primary Function: Manages human resources and their availability.
- Capabilities:
▪ Adds new human resources and updates existing ones.
▪ Manages work schedules, skills, and base data. - Restrictions:
▪ Limited to resources within their subsidiary.
▪ Cannot access financial data of resources.
- Finance Manager
- Primary Function: Manages the financial aspects of resource planning.
- Capabilities: Accesses internal costs, external prices, budgets, and financial reports tied to resources and projects.
- Significance: Enables cost-effective decisions and integrates a financial layer into
resource management.

Licensing of the Resource Management module
KanBo licenses are designed to provide progressively more advanced functionality. Each tier builds on the previous one, adding features that support increasing levels of resource planning and management sophistication.
There are three license types with Resource Management module:
• Business License – Ideal for organizations that need simple time tracking and reporting without approvals, resource allocation, or planning.
• Enterprise License – Best for mid-sized teams needing workload views and resource management at the card level for time-based resources.
• Strategic License – Suited for large enterprises with complex resource planning needs, offering comprehensive tools for strategic and operational control.
