Work Schedules
In this article:
Overview
A work schedule is one of the base data features defined for the Resource Management module. It is not assigned to a specific subsidiary. All defined work schedule types can be used by resources throughout KanBo.
The availability of resources is displayed based on the assigned work schedule. Non-working days are marked with an X.
Example: Resource availability in the Utilization view. Megan works full time and Olivier works half time as an intern. Therefore, Megan has eight hours a day, and Olivier has four hours a day to use.
The work schedule includes specifying the days worked per week and the hours worked per day. We recommend defining company standard work schedules. In case of temporary changes in the work schedule, try the Part-Time Availabilities tool.

Default work schedules
In the beginning, there is only one default work schedule. All resources are assigned to it. You can create more work schedule types, such as full-time or half-time. Adapt them to your company’s policies.
Adding work schedules
You need the Enterprise/Strategic KanBo license and the Resource Admin role to create work schedules.
To add a work schedule:
- On the Sidebar, select
Resource Management.
- Go to Basedata settings.
- From the menu on the left, select Work Schedules.
- Select + Add new work schedules.
- Enter the name.
- Select working days.
- Enter the number of work hours for each day of the week.
- Confirm using the Add work schedule button.
Editing work schedules
You need the Enterprise/Strategic KanBo license and the Resource Admin role to edit work schedules.
You can edit work schedules at any time, such as adding or changing days and working hours.
To edit a work schedules:
- On the Sidebar, select
Resource Management.
- Go to Basedata settings.
- From the menu on the left, select Work schedules.
- On the selected work schedule, go to
Details.
- Make changes.
- Confirm using the Save button.
Deleting work schedules
You need the Enterprise/Strategic KanBo license and the Resource Admin role to delete work schedules.
To delete a work schedule:
- On the Sidebar, select
Resource Management.
- Go to Basedata settings.
- From the menu on the left, select Work schedules.
- On the selected work schedule, go to
Delete.

How to change the resource work schedule?
First, you need the Resource Admin role.
To change the resource work schedule:
- On the Sidebar, select
Resource Management.
- Go to Basedata settings.
- From the menu on the left, select Resources.
- On the selected resource, go to
Details.
- Go to the Work schedule, and then select a specific position.
- Confirm with the Save button.
