Card Templates

Overview
A card template is a feature that allows you to create many cards based on one model card. Don’t start from scratch every time. Using the card template, you can define default card elements and details for new cards. It will save a lot of your time and effort and help your team share actionable knowledge so you can benefit from each other’s experiences.
To better understand the principle of card templates, it is best to show it through an example. We will use the Job Position card template used in the Recruitment space.
Card templates are useful when you need to create many complex cards with similar predefined structures. Use card elements to create a handy template to duplicate as you work. You can use notes, to-do lists, subcards, documents, or even custom fields.
To avoid confusion with a regular card, the card template is marked blue.
Example: Job Position card template with three card elements (note, to-do list, document folder definition) added.
You can even have it create a corresponding document folder in your corporate library along with the creation of a card based on a card template. This feature is called automatic folder definition in card templates. The next step is to add document templates to the cards. With these solutions, you will streamline many repetitive processes. See our guide showing how to get the most out of card templates in KanBo – Working with Card Templates.
Creating cards using card templates
To create a card based on a card template:
- Open the space.
- Select the + button on a desired grouping.
- Enter the card name, select the template, and then select Create card.
All template card elements will be added to the new card. Some of them may need more time to appear.
If you do not want to manually select a card template each time, set the default card template.
Default card template
A default card template is useful if most of the cards you want to create are based on the same template. This setting ensures that when you create a new card in the space, a specific card template is already selected.
To set the card template as default:
- Open the space.
- On the space top bar, go to More (the three-dots menu), then select Settings > Card templates.
- Hover over the desired template, go to More (the three-dots menu), and then select Set as default.
A note Default will appear below the card template name to confirm the change.
You can disable the default card template at any time. You will still be able to use the template when you create the card, but you will have to select it manually.
To clear the default card template:
- Open the space.
- On the space top bar, go to More (the three-dots menu), then select Settings > Card templates.
- Hover over the desired template, go to More (the three-dots menu), and then select Clear default.
Applying card templates to existing cards
You can apply the card template to an existing card. Even if you have already added card elements or comments. Applying the card template will not remove existing card elements and other details.
To apply a card template to an existing card:
- Open the card.
- On the top card bar, go to More (the three-dots menu), and then select Apply template.
- Select the template, and then select Apply.
Changing the order of card templates
If you have more card templates, you can determine their order. Move your most used card templates to the top of the list.
To change the order of card templates:
- Open the space.
- On the space top bar, go to More (the three-dots menu), then select Settings > Card templates.
- Drag the name of the card template and move it to the correct position.
