Creating Spaces

Space is a product, project, resource, or organizational structure that is constantly evolving. Spaces can represent anything and have a variety of uses. See how to create a completely new space or use a space template for it.

You must have the Adding Spaces role to create new spaces.

Create a new space

To create a space in a KanBo:

  1. Open KanBo.
  2. Go to Navigation Panel.
  1. Select Spaces button.
  2. Click + Add space.
  3. Choose the space template (optional).
  4. Enter the name.

You can select the background color of your space or leave the default one. There is also an option to set space dates.

In the cloud world, when you create a new space, you can choose whether to create a new Office 365 group or not. In case creating groups is disabled in your tenant, users won't be able to create a new Office 365 group. They will be able to attach only existing groups to the space.

Skip to the last paragraph if you are using an on-premise environment.

If you want to create a group with a name different than the space’s name, enable the custom name option and enter the name.

  1. Click the Add button.

Create a space using a template

You can create spaces based on a template in the same way you create a new space (see step 4) or directly from the space template. Let’s look at the second option.

To create the space based on the space template:

  1. Open the Navigation Panel.
  2. Select  Spaces.
  3. Select Space templates.
  4. Click on the three-dot menu on the selected space’s tile.
  5. Select  Create space.
  6. Follow the steps from the previous instruction (from 5. step).

On-premise enviroments

In the on-premise world, once you create a space, a new SP site gets created within KanBo Site Collection. KanBo created there a document library for the space and adds 3 security groups that match KanBo permissions - Owner, Member, and Visitor.

To create a new space:

  1. Go to the Navigation Panel.
  2. Click on the Spaces button.
  3. Click + Add space.
  4. Enter a name for the space and select a color.
  5. Choose the space template (optional).
  6. Click Add to create a new space.

When you add a new space with a name that is similar to the names of other spaces, you will see a Suggested Spaces pop-up. It informs you that you are creating a space with a similar name. The pop-up displays the colors of the suggested space. You can open a suggested space and it will open in a new browser tab.

  1. Click Continue to create a new space despite the communication.


Only users with the Adding Spaces role can create spaces.

Only space owners can delete spaces.

Yes, you can set a space background color. It will be visible inside the space and on the space tile.
