The activity stream concept in KanBo is a fundamental feature that refers to a dynamic and interactive feed that displays a chronological list of activities. It is a real-time log with information about what happened, when, and who did it. Each line contains links to the corresponding cards and spaces. Each card, space, and user has its own activity stream.

bookmark

A bookmark is a feature that allows users to mark and collect important actions and comments from spaces and cards. By adding a bookmark to an activity, users can easily access and reference it later, ensuring that important information and discussions are readily available and organized in the Bookmarks section of their profile.

Calendar view

The Calendar view is a visual representation of cards in a traditional calendar format. It allows users to see upcoming card dates and manage their workload by scheduling cards. With this space view, users can display cards by day, week, or month.

card

Cards are the most fundamental units of KanBo, serving as representations of tasks or other items that need to be tracked and managed. They contain essential information such as notes, files, comments, dates, and checklists. Their flexible structure allows them to be adapted to any situation.

card age

Card age is the number of days since card creation. It can be displayed on the card front.

card activity stream

Card activity stream is a feature that provides a real-time log of all activities and updates related to a specific card. It displays a chronological list of actions taken on the card, such as creating the card, adding comments, attaching files, etc. The card activity stream allows space users to track the history of changes, providing transparency and visibility into the progress of the card.

card blocker

A card blocker refers to an issue or obstacle that prevents a task from moving forward. There are three types of card blockers: local blockers, global blockers, and on-demand blockers. Users can create multiple card blockers to make the standstill reasons explicit and to categorize problematic work.

card date

Card date is the type of date feature used in cards. It helps to mark milestones that appear during work.

card details

Card details are used to describe the card. They help determine the purpose and character of the card. They also provide information about other related cards, users, and time dependencies. Examples of card details are card statuses, card dates, card users, etc.

card documents

Card documents are files attached to a card. These files can be stored in document groups and document folders within the card, however, its source is the SharePoint document library. This allows you to edit documents anywhere in KanBo while working on the same version of the file.

card element

Card elements are features that make up the contents of the card. They are useful for describing task details with notes and to-do lists, or for organizing card documents into groups and folders.

card front

A card front is a visual representation of the card in a space view. It is a white rectangle with the card name at the top and various card icons in the middle. It helps to see all the important details at the space level without having to enter the card. Clicking on the front of the card allows entering the card.

card grouping

Card grouping is a way of organizing cards. This feature allows space users to categorize cards based on various criteria, which helps them organize and manage tasks more efficiently. The way of card grouping determines how cards are collected and displayed in spaces.

card issue

A card issue is a problem with a specific card that prevents it from being effectively managed. Card issues are marked with specific colors. Issues related to time conflicts are marked in orange, while those related to card blocking are marked in red.

card presence indicator

Card presence indicators show if users are present on a card or when they last visited. Users’ avatars appear on the right side of the card activity stream after they visit the card.

card relation

Card relation is a connection between cards that makes them dependent on each other. This allows users to break large tasks into smaller ones and helps to clarify the order of the work to be done. There are two types of card relation: parent and child, and next and previous.

card statistics

The card statistics feature provides users with a comprehensive understanding of their card realization process. It offers analytical insights through visual representations of a card’s lifecycle using charts and hourly summaries.

card status

Card statuses indicate the current stage or condition of the card, which helps organize work. For example, a card can be in the To Do or Completed state. By knowing the status of a card, KanBo can calculate the work progress at each stage of the project, allowing for further analysis and forecasting.

card template

A card template is a predefined and reusable layout for creating cards. The template allows to define default card elements and details for new cards. This saves a lot of time and effort and ensures consistency between cards.

card user

Card users are KanBo users assigned to a specific card. One of them has the role of Person Responsible, who is in charge of completing the card. There may be other users assigned to a card who are Co-Workers. Card users are notified of every action on the card.

chat

Chat is a real-time messaging system that allows space users to communicate with each other within the space. It provides a convenient and centralized place to have discussions, share updates, and collaborate on projects.

child card

Child cards represent tasks that are part of a larger project. They are typically created within a parent card and provide additional details or specific actions required to complete the parent task. They help establish a hierarchical relation between cards, allowing for a better understanding of project dependencies.

child card group

A child card group refers to a way of organizing and grouping child cards within a parent card. It makes it easier to navigate and track the progress of multiple related cards.

comment

A comment is a feature that allows card users to add a message to the card. It can be used to provide additional information about the task or to communicate with other users. Advanced text formatting is available.

completion date

The date of changing the card status to Completed. It can be displayed on the card front.

Co-Worker

A Co-Worker is a card user who participates in the performance of the task.

creation date

The date of card creation. It can be displayed on the card front.

custom fields

Custom fields refers to the ability to add user-defined data fields to categorize cards. User can set a name and color for each custom field for better organization. There are two types of custom fields: list and label.

D

date conflict

Date conflict in cards refers to a situation where there is an overlap or inconsistency between the due dates or start dates of different related cards. This can lead to confusion and conflict in scheduling and prioritizing tasks within the space.

dates in cards

Dates in cards refer to specific terms associated with individual cards within a space. They represent important milestones, deadlines, or durations associated with a particular task or event. There are four types of dates in cards: start date, due date, card date, and reminder.

deactivated user

A KanBo user who has been deactivated and does not have access to KanBo. Actions performed by this person are still visible to other KanBo users.

default parent card

If the card has more than one parent, one of them is marked as the default parent. In other words, the default parent is the main parent of the card. The other parents are used for progress aggregation purposes only. The main parent is the one that is linked to the child card on the Mind Map view.

display settings

Display settings allow space users to personalize the space view. It can be used to highlight what is important and hide what is not. The appearance of each space view can be changed separately. Each type of space view has its characteristics and different options to choose from.

document group

Document group is a feature that allows users to keep all card documents in a custom arrangement. Documents added to a card can be grouped by any condition, such as type or purpose. It does not affect the source folders on the external platform where the documents are stored.

document folder

A document folder refers to a virtual directory used to organize and store documents within the external platform. It acts as a centralized location for storing various types of files related to a specific card.

document source

The document source feature allows users to easily associate and organize documents within KanBo. It provides seamless integration between KanBo and external document storage platforms. Users can simply click on the document source link within a card to open and view the associated document, eliminating the need to switch between applications or platforms. This helps to centralize project-related documents, ensure easy collaboration and version control, and reduce the risk of data duplication or fragmentation across multiple systems.

document template

A document template is a pre-designed layout for creating and sharing documents within the KanBo platform. It is a file connected with KanBo that serves as a starting point for creating new documents in cards. It ensures consistency and efficiency in document creation and collaboration.

due date

Due date is the type of date feature used in cards. It stands for the final term of completing a card.

filtering cards

Card filtering is a feature that allows space users to sort and find specific cards in a space. There are several filtering options to choose from, such as users or any typed text. It is useful for finding information more efficiently when dealing with large spaces with many cards.

folder

Folders are used to categorize spaces within workspaces. It’s an intuitive way to keep your projects organized in KanBo.

Forecast Chart view

The Forecast Chart is a space view that provides a visual representation of project progress and data-driven forecasts based on historical velocity. It helps track completed work, remaining tasks, and estimates for project completion.

Gantt Chart view

The Gantt Chart view is a type of space view. It shows all time-dependent cards in the form of a bar chart, sorted chronologically on a timeline. It is a perfect tool for complex, long-term task planning.

global card blocker

A global card blocker is a type of card blocker that is generally available in every space. Space members can see it and add it to a card. It can only be managed by users with the Global Settings role. The use of global card blockers can be monitored at a higher level.

global settings

Global settings are general KanBo settings such as the default space template or access to enable or disable the space deletion that can only be edited by the user with the Global Settings role. There information about licenses and the number of users can be found.

grouping

Grouping is a collection of related cards that are grouped for organization and management purposes. Groupings serve as containers for organizing and categorizing cards within a space. Depending on the type of card grouping selected, groupings can refer to specific users, card statuses, due dates, or custom fields created by the space owner.

Guest Space

Guest Spaces are spaces where cards are mirrored, unlike the Home Space, where the card has its original location.

Home Space

Home Space is the original space where a card is located. Card mirrors are located in Guest Spaces.

Kanban Swimlanes

Kanban Swimlanes can be defined as additional horizontal divisions within a Kanban view that represent different categories of card grouping. With Kanban Swimlanes, users get a simultaneous grouping of cards vertically and horizontally, similar to a chessboard.

Kanban view

The Kanban view is a type of space view. It presents a space divided into columns, representing different stages of work. Each task or work item is represented by a card that can be moved across the columns as it progresses through the stages.

KanBo Help Portal

The KanBo Help Portal is a resource provided by KanBo that offers documentation, guides, and other support materials to help users understand and effectively use the KanBo platform. It serves as a central knowledge base where users can access information and resources related to KanBo’s features, functionalities, and best practices.

KanBo license

A KanBo license refers to the authorization granted to a user to use the KanBo platform. It is a legal agreement between the organization and KanBo that outlines the terms and conditions of the software usage.

KanBo user

A KanBo user is an individual who has registered and received an account to access KanBo. Users can have specific roles within spaces, cards, and the KanBo platform.

KanBo roles

KanBo roles can be used to give users responsibility for different KanBo platform areas. Roles are related to the management of settings, documents, and other users.

KanBo Search

KanBo Search is a tool that allows users to quickly find information within the KanBo platform. It works by entering specific keywords or phrases. Advanced query options are also available to narrow search results, such as search filters, search sorting, and search commands.

label

Label is a type of custom field that can describe cards. Label is a form of tag that the user can add to a card. Multiple labels can be assigned to a card.

list

Lists are one of the custom field types that can help you organize your work. They are a perfect way to categorize your cards, because each card can be assigned to only one card list.

List view

The List view is a type of space view. Cards are displayed as separate rows in a vertical list format. A list view is often used when a more detailed and structured representation of tasks is required.

local card blocker

A local card blocker is a type of card blocker that exists locally in the space. Any space member can see it and add it to a card. It can only be created, deleted, and edited by the space owner.

M

mention

Mentions refer to the ability to tag and notify users by using the @ symbol followed by their names. This feature allows space users to bring a specific person’s attention to a particular task or discussion.

Mind Map view

The Mind Map view is a graphical representation of the relations between cards. It is the most visual and individual way to plan and arrange tasks. It allows users to brainstorm, organize thoughts, and create hierarchical structures within a single canvas.

mirror card

Mirror cards allow users to create reflections of a card across multiple spaces. This means that a card that exists in one space can be mirrored to another space while still retaining a synchrony between updates.

MySpace

MySpace is a personal space for each user. It collects mirror cards from different spaces and allows the user to manage them in one space without affecting the original project spaces.

note

A note is a vital card element that allows users to store information. They can add notes to cards to provide additional details, instructions, or clarifications about the task or content of the card. Advanced text formatting is available.

notification

Notifications are sound and visual alerts that users receive when something important happens. They are updates that inform users of changes related to the cards and spaces they are following. This can include card status changes, comments, attached files, and more.

O

on-demand card blocker

An on-demand card blocker is a global type of card blocker but is only available to space users when added to the space by a space owner. On-demand card blocker usage can be monitored at a higher level.

P

parent card

A parent card represents a higher-level task or project that consists of multiple subtasks. A parent card is typically used to provide an overview of the project, while child cards contain detailed information and actions for each specific task.

personal space view

A personal space view is specific to an individual space user and can only be viewed by the user who created it. It can be created from scratch or as a variation of an existing space view.

private card

Private cards are cards created in MySpace. We recommend using this feature as a draft for cards that need time to prepare before moving them to the target space and showing them to other users.

Q

Quick Actions

Quick Actions are a set of convenient, time-saving shortcuts that allow users to perform card actions at the space level without having to navigate through multiple menus or options.

reminder

A reminder is the type of date feature used in cards. It is a personal card date, visible only to the space user who created it.

Responsible Person

The Responsible Person is a user who supervises the card realization. There can be only one card user who will be responsible for the card. However, you can change it anytime by making another user responsible.

Rich Text

Rich Text is the ability to apply various text formatting options such as bold, italics, underline, bullets, and more. It allows users to add visual elements and customize the look of their text messages, to-do lists, and notes.

Start date is the type of date feature used in cards. It allows card users to indicate a date to start the task.

search commands

Search commands are special characters that can be used in a search query. They are useful for finding results that match a particular pattern, or for dealing with spelling variations or incomplete information.

search filters

Search filters are a part of KanBo Search that helps narrow down the search results. Specific search filters appear when available, meaning they are only displayed when they can be applied.

search sorting

Search sorting is the way KanBo Search results are ordered. Search results can be sorted by several options: relevancy, oldest, newest, or due/start date.

shared space view

A shared space view is a standard space view that is accessible to all space users.

space

Space is a collection of cards arranged in a highly customized way. They visually represent workflow and allow users to manage and track tasks. Spaces typically represent projects or specific areas of focus and facilitate collaboration and effective task management in a digital environment.

space activity stream

Space activity stream is a feature that provides a real-time log in the form of a list of actions performed on the space, such as creating cards, adding users, and performing card actions. By viewing it, space users can track the history of activity, identify who performed specific tasks, and understand the overall activity and updates within the space.

Space details

The Space details section contains basic information about space. Here it is possible to see who is in charge of the space, what it was created for, how many users it has, and so on.

space documents

Space documents are all documents that appear in the space, that is, all documents associated with the cards within the space.

space member

A space member is a basic level of access to a space. This is the level that allows users to work with cards.

space owner

A space owner is the highest level of access to a space. It allows access to all options for editing the space. A space can have many space owners.

space settings

Space settings are general settings such as space language or access to space deletion that can only be edited by the space owner.

space template

A space template is a preconfigured and reusable space structure. It serves as a starting point for creating new spaces. It typically includes predefined cards, groupings, statuses, and other elements necessary for a specific use case or project. Space templates save time and effort by eliminating the need to recreate the same structure for new spaces.

space tile

A space tile is a visual representation of a space. It acts as a gateway for accessing and managing the content of the space. It is a rectangle in the space’s background color. The space tile contains the name of the space and several icons for easy access to the space activity stream, space details, and so on.

space user

A space user is a KanBo user who has access to the space at one of three levels: Owner, Member, or Visitor. Other users cannot even see that the space exists.

space view

The space view is the visual representation of the contents of a space. It allows space users to present the same cards arranged in different ways, depending on what is needed at the time. For example, cards can be displayed on a chart, a list, a calendar, or a mind map.

space visitor

Space visitor is the lowest level of access to the space. Space visitors can only see cards and write comments.

Table view

Table view allows users to view their space data in a tabular format. It presents the information in a clear and organized manner, resembling a spreadsheet or a table, with rows representing cards, and columns representing different card details.

Time Chart view

The Time Chart view is a space view that allows you to track and analyze the time it takes to complete cards in your workflow. With the Time Chart view, you can easily monitor lead, reaction and cycle times, identify bottlenecks, and make informed decisions to improve your process.

timeline

A timeline is a feature available in the Kanban view. It is a visual representation of card dates marked on a horizontal time axis within a specified period. Cards can be dragged on the timeline to add due dates to them.

Timeline view

The Timeline view is a visual representation of cards organized chronologically along a horizontal timeline. It allows users to easily manage their cards within a specific time frame. By hiding card relations it is easier to focus on individual tasks, track the duration of each activity, and identify potential scheduling conflicts.

to-do item

A to-do item is a task or activity that is added to a to-do list within the card. It represents a specific action that needs to be completed or a goal that needs to be achieved. Proceedings of the subitems count towards the overall calculation of the card’s progress.

A to-do list is one of the card elements. It contains a list of tasks or items, along with checkboxes that allow users to mark off tasks as they are completed. It is a way to keep track of smaller items within a card. Proceedings of the to-do list count towards the overall calculation of the card’s progress.

U

user activity stream

Each user has an activity stream, which is a chronological list of the user’s actions. Positions on the list tell you what activities were performed where and when. Each position contains links to the cards and spaces where it took place.

user presence indicator

The KanBo user presence indicator is a tiny dot located in the lower right corner of the user’s avatar. Its color indicates the current availability to other users in KanBo.

user profile

Every user in KanBo has a user profile that contains their contact information, profile picture, and a short description of themselves.

workspace

Workspace is a group of spaces that relate to a specific project, team, or topic. It organizes all relevant spaces in one place, making navigation and collaboration easier. Users can decide who can access and see the workspace, allowing control over privacy and team involvement.
