Overview

Notifications are audio and visual alerts that users receive when something relevant to their work happens. They inform users of activities related to the cards and spaces they are following. This can include card status changes, comments, reminders, and more. Notifications allow synchronous communication between users.

Notifications are hidden under the bell icon on the Sidebar. The counter shows the number of unread notifications.

To open the Notifications:

  • On the Sidebar, select the bell icon.

Notifications allow you to keep track of past actions related to your user’s context. You can receive information about:

Notification counters

The number of activities you are notified about is located on the Sidebar, next to the bell icon in the form of an intuitive counter. Once you mark a notification as read by checking the box, it disappears from the Unread section.

As long as all of your notifications are marked as read, you will not see the orange counter on the bell icon.

Notifications that have been marked as read do not disappear from KanBo. You can always browse through the notification history.

To open the history of notifications:

  • On the Sidebar, select Notifications, then select All.

Notification counters are also available for cards where you have unread notifications. It will disappear when you visit the card or mark the notification as read.

The number of unread notifications is highlighted with a bell icon on the card front.

Communication hygiene

Communication hygiene refers to the practice of maintaining clear, respectful, and effective communication. At KanBo, we use a “pull communication” model to collaborate. By making information available for on-demand access, organizations can reduce the need for repetitive, individual inquiries, thus saving time and resources for both the sender and the recipient.

Remember, effective work requires focus. Too many notifications can easily distract you.

All activities that happen in KanBo are recorded in the form of an activity stream, but you decide which ones you want to be notified about. Thanks to the system of following individual cards, you can select what interests you at the moment and reject what is irrelevant to your workflow.

Look at notification settings that you can customize to fit your work style. You can set parameters such as:

  • Detail level of received notifications
  • Silent mode
  • Additional email notifications

Think about your colleagues as well, and remember that in addition to reading the notifications, it is good practice to visit the card where you are mentioned to let others know that you have read the information.

Tips & tricks

1. Exact date

Hover over a date to see the exact time of the action.

2. Mark all as read

You can mark all notifications as read at once by selecting the blue link below the Unread section.

3. Mark a notification as unread

If you want to keep a notification in mind, you can mark it as unread. It will go to the Unread section back and will be included in the notification counter.

To mark a notification as unread:

  1. On the Sidebar, select  Notifications, and then open the All section.
  2. Hover the cursor over a notification, and then go to More (the three-dot menu).
  3. Select Mark as unread.

4. Bookmarks

You can add a bookmark to important actions in activity streams to collect them. Later, you can find it in the Bookmarks section of Notifications.

FAQ

You will receive notifications when someone mentions you, when there is a new action in a card or space you are following, when a card date is approaching (if you are following the card), and when you are added to or removed from a space.

You can turn the sound on or off by toggling the sound option in the notification settings.

Yes, you can mark a notification as unread or enter the notification history to view the previous ones.

Yes, you can enable email messages about unread notifications in KanBo. Please note that you will only receive an email if you have not read any notifications in KanBo. If you are active in KanBo and read notifications regularly, you will not receive an email about them.
