Space Types
This post is also available in: Deutsch
Space is the new name for the board.
Coming soon with the KanBo 3.0 version!
In this article:
Overview
Space types differ in terms of privacy settings. They can be open to all workspace users, require a selection from among them, or even allow people outside the organization to be invited.
This means that you can define the users of each space within the workspace independently.
There are three space types:
The last two types require KanBo to be connected to the Microsoft Teams.
Standard spaces
The most common type of space is a standard space. All workspace users join it automatically during the space creation.
Workspace users = space users:
Example: If you don’t want to narrow the workspace user base, choose the standard space. Standard space is visible for all workspace users. Use it for common topics, such as the Work Schedule.
Private spaces
Private spaces allow for narrowing the workspace user base. Space owners can decide which workspace users will join and even see it.
Selected workspace users:
Example: Recruitment space inside the HR workspace, or New contract in the department.
Shared spaces
Shared space is the type of space that allows space owners to add any user they need, not only from the workspace, not only from the organization but also from the outside.
Selected workspace users + external users:
Example: Video commercial space inside the Marketing workspace. Use this type of space when you need to invite users from another workspace, or hire additional subcontractors.
Microsoft Teams integration
KanBo can be combined with the Microsoft Teams application. Spaces correspond to Channels. This means that joining a particular Channel is the same as joining the corresponding space in KanBo. What’s more, documents that appear in those Channels will automatically find their way into the corresponding KanBo spaces, and the other way around.
Every space and workspace can be connected with MS Teams in cloud environments.
Integration with MS Teams enables the creation of new types of spaces and workspaces.
See the Create a Space to Work video explaining this dependence.
Private and shared space types require KanBo to be connected to the Microsoft Teams. This means that in order to be able to create these types of spaces, you must select the option to connect to MS Teams while creating a space.
What’s more, to be able to create a space connected to MS Teams, your workspace must also have such a connection. This option should be checked when creating a workspace.
Private and shared spaces are not available for on-premises environments because they can only exist in connection with MS Teams.
